Recruitment weekend is designed to introduce admitted graduate students to the Sociology Department at the University of Washington. It is a wonderful chance to meet our faculty, current graduate students, and other prospective students. It is also a great opportunity to learn a bit more about our department, the University of Washington as a whole, and life in the Pacific Northwest. Prospective students
who have received notification that they have been admitted
to the UW Sociology Ph.D. program for Fall 2012 are invited
to attend.
The department may
be able to reimburse a portion of your travel expense (plane, train, or mileage), please see information below for qualifying expenses.
Sociology department events start
first thing Friday morning so it is best to arrive in Seattle
by Thursday. Events are usually scheduled through Saturday early afternoon
so plan to leave Saturday night or Sunday. We'll be able to give you a few more details about the schedule in regards to end time soon.

Once we get everyone assigned, we will contact you with the
name and contact info of the person.
If
you are bringing a spouse/partner/friend or just like more
privacy, it is better to get a hotel. Here is a list
of places nearby that may give UW visitor rates.
We
cannot reimburse for accommodations.
While final details are still being planned, we are usually able to provide a continental breakfast in the department on Friday morning, and there is likely to be a hosted lunch with our Faculty on Friday as well. Please check back for final details on hosted events that will include food.
An open, no-host,
department reception will probably be held on Friday from 6 pm until
you want to leave at a local restaurant or pub. It is a good
opportunity to visit informally with graduate students, other
prospective students, and faculty.
There
are many inexpensive ethnic and fast food restaurants on campus
and just off campus. And, of course, coffee is everywhere.
We cannot reimburse you for food.

Light Rail - take the train downtown to the Westlake Station (last stop), and then transfer to Seattle Metro Bus to a 71, 72, or 73 to get to the UW campus.
Seattle Metro Bus:

of Washington HUB").
Take any number
of busses from downtown to the University; they are listed
on the UW Commuter Services web site.
Depending on arrival
times, we may be able to coordinate picking people up downtown.
Travel reimbursements are only available when you visit during Recruitment Weekend, March 2-3, 2012. We can not provide reimbursement for any visits outside of those dates.
Reimbursement can be provided for 50% of your transportation costs, up to a maximum of $300.
Examples of qualifying travel costs include; for airfare, train fare, etc of $200, the eligible reimbursement would be $100. For transportation cost of $600, $300 would be the eligible reimbursement.. If the ticket costs $750, $300 would be the amount eligible for reimbursement.
We will reimburse airfare, train tickets, long-distance bus tickets, or mileage if you drive. We do not reimburse parking, taxis, local area buses, and other such items outside of actual travel tickets.
Requesting Reimbursement:
While you are here for the weekend, make sure to fill out and submit any forms required by our office and provide copies of your travel tickets and documentation. By submitting and signing appropriate documentation, we will be able to process your reimbursement more quickly. Please turn in your documents to the Main Office on Friday. Also note the information below:
Important Documentation - Airline Tickets:
If you are
booking both an airline ticket and hotel through an online
reservation company, be sure to print the receipt that shows the
price of the airline ticket separate from the hotel. We cannot
reimburse hotel fees (or food).
The Travel Office
has strict rules about documentation. We will need your itinerary which documents the cost, departure and arrival airport, departure and arrival dates. This document also must show the price, and that the balance was paid in full.
Important Documentation - Car, Bus, or Train:
We can reimburse bus or train tickets and mileage (based on a UW Travel office formula) for visitors driving from other pacific NW Locations using the same formula of 50% of the cost up to a maximum of $300. For bus or train tickets, we will need the receipt showing how much you paid and the departure/arrival information.
For International Visitors:
Please make sure while on campus this weekend to check in with Brian Serafini. We have specific additional documentation we will need from you, including copies of certain travel documents and Passport/Visa pages that have to be taken while you are here for the weekend, and after you have entered the United States.
